Terms of Service
Effective date: August 21, 2026
These Terms of Service ("Terms") are a legal agreement between you and StationBay ("StationBay", "we", "us") governing your use of the StationBay mobile application and related services (the "Service"). Please read them carefully, especially Sections 2 and 3.
1. Acceptance of these Terms
By creating an account, signing in, or otherwise using the Service, you agree to these Terms. If you do not agree, do not use the Service.
If you use the Service on behalf of a fire department or other organization, you represent that you are authorized to accept these Terms for that organization.
2. Not for Emergency Use
StationBay is designed strictly for administrative, inventory management, and training purposes. It is absolutely not a dispatch tool, incident command system, or life-safety application. Users must not rely on StationBay for active incident routing, tactical decisions, or emergency response. Always defer to official department standard operating procedures (SOPs) and dispatch protocols.
3. AI-Generated Content & Verification
Certain training modules and study questions within StationBay are generated using artificial intelligence. While designed to aid in studying equipment manuals and department specifications, AI systems can hallucinate, misinterpret context, or provide inaccurate information. All AI-generated study materials must be independently verified against official manufacturer manuals and department SOPs before being relied upon in the field. The developer assumes no liability for errors or omissions in AI-generated content.
4. License to use the Service
Subject to these Terms, we grant you a limited, personal, non-exclusive, non-transferable, revocable license to install and use the Service on devices you own or control, for your department's internal administrative and training purposes.
You may not:
- Copy, modify, translate, or create derivative works of the Service
- Reverse engineer, decompile, or attempt to extract source code, except where that right cannot lawfully be restricted
- Rent, lease, sell, sublicense, or otherwise commercially exploit the Service
- Circumvent access controls, rate limits, authentication, or department permission boundaries
- Use automated means to scrape, harvest, or bulk-extract data from the Service
- Use the Service to build a competing product
5. Your account
You are responsible for the accuracy of your registration information, for keeping your credentials confidential, and for all activity that occurs under your account. Notify us promptly if you believe your account has been compromised.
Access to department data is granted by your department's administrators. Verification of your identity and station assignment is performed by your department, not by StationBay.
6. User-Generated Content
The Service allows you to submit content, including equipment names, apparatus and tool specifications, inventory records, department facts and notes, kit definitions, photographs, and reports on study questions ("User Content").
You retain ownership of your User Content. You grant StationBay a worldwide, non-exclusive, royalty-free license to host, store, reproduce, display, and process your User Content solely to operate, secure, support, and improve the Service, and to make it available to authorized members of your department.
You are solely responsible for your User Content, and you represent that you have the right to submit it. Images and photographs are subject to the additional requirements in Section 7.
The following is prohibited:
- Abusive, harassing, threatening, defamatory, hateful, or obscene content
- False, misleading, fabricated, or deliberately inaccurate equipment specifications, inventory records, apparatus data, or department facts
- Content that impersonates another person, department, or manufacturer
- Confidential, classified, or operationally sensitive information you are not authorized to share
- Personal information about others submitted without a lawful basis
- Malware, spam, or content that infringes another party's intellectual property or privacy rights
Because crews rely on this data for training and accountability, submitting knowingly false or misleading equipment information is treated as a serious violation.
Reporting. You can report objectionable content, harassment, or copyright concerns from Help & Support inside the app, or by emailing support@stationbay.app. We review every report and act within 24 hours by removing or disabling the content, warning the account, suspending it, or banning it, as appropriate.
Enforcement. We and your department's administrators may review, edit, reject, or remove User Content at any time, with or without notice. If you violate this Section, we may issue a warning, restrict your features, suspend your account, or permanently ban you from the Service, at our sole discretion. Serious or repeated violations may be reported to your department.
You can also block another member from Help & Support, which hides their name and avatar from activity attribution on your device. Blocking does not remove department equipment records, which belong to your department.
We are not obligated to monitor User Content, and we do not endorse or guarantee the accuracy of any User Content.
7. Photographs, copyright, and intellectual property in User Content
This Section applies to every image you upload to the Service, including apparatus photos, compartment and shelf photos, tool and equipment photos, kit images, and profile or verification photos.
Your responsibility. You represent and warrant that, for every image or other content you upload, you either own it outright or hold all licenses, rights, consents, and permissions necessary to upload it and to grant us the license below. You further represent and warrant that your upload does not infringe or violate the copyright, trademark, trade secret, privacy, publicity, or other rights of any person or entity. Photographs you take yourself of your own department's apparatus and equipment are the intended source of imagery on the Service.
License you grant to StationBay. You retain ownership of your images. You grant StationBay a non-exclusive, worldwide, royalty-free, sublicensable license to host, store, cache, reproduce, resize, compress, and display your uploaded images within the Service, and to make them available to authorized members of your department, solely for the purpose of operating, securing, supporting, and improving the Service. This license exists so we can technically deliver the app; it does not give us the right to sell your photographs or license them to unrelated third parties for their own purposes. The license ends when you or your department delete the image, except for copies retained in routine backups for a limited period, or where the image is part of your department's records as described in Section 8.
No uploading of copyrighted material. You may not upload images you do not have the right to use. This expressly includes, without limitation:
- Stock photography or proprietary images downloaded from the internet, image search results, or stock photo services
- Product photos, catalog images, marketing renders, or manual illustrations copied from a manufacturer's or vendor's website or literature
- Photographs taken by someone else without their permission
- Images bearing another party's watermark, credit, or copyright notice
- Images licensed for a purpose that does not permit this use, or that would require attribution you have not provided
If you need to represent a tool you cannot photograph yourself, leave the image field empty rather than substituting an image you do not have the right to use.
Copyright complaints. We respect the intellectual property rights of others and comply with applicable copyright law, including the Digital Millennium Copyright Act. If you believe content on the Service infringes your copyright, send a notice to support@stationbay.app including:
- Identification of the copyrighted work you claim has been infringed
- Identification of the specific content on the Service you claim is infringing, with enough detail for us to locate it
- Your name, mailing address, telephone number, and email address
- A statement that you have a good-faith belief the use is not authorized by the copyright owner, its agent, or the law
- A statement, made under penalty of perjury, that the information in your notice is accurate and that you are the copyright owner or are authorized to act on the owner's behalf
- Your physical or electronic signature
We reserve the right to remove or disable access to any content we believe in good faith to be infringing, with or without notice, and to remove content in response to a valid notice. We also maintain a repeat-infringer policy: accounts that repeatedly upload infringing content will be terminated and permanently banned from the Service. If you believe your content was removed in error, you may send a counter-notice to the same address.
Indemnity for uploads. As set out in Section 15, you are responsible for claims arising out of the content you upload, including claims of copyright infringement.
8. Department data
Apparatus, inventory, photos, and training data are private to your department. StationBay is not a public community, a social network, or a public feed. Content you submit is visible only to authorized members and administrators of your own department. The only content that can cross departments is a global catalog template that an administrator chooses to clone into their own catalog.
Inventory, catalog, station, apparatus, and personnel records created within your department are your department's records. Your department's administrators control access to them and may add, modify, or remove them, including after you leave the department. Do not enter information into the Service that you are not authorized to share with your department.
9. Subscriptions and billing
Some features may require a paid subscription. Subscriptions are purchased and billed through the Apple App Store or Google Play and are managed by their respective billing systems, with entitlements managed through our subscription provider.
- Subscriptions renew automatically unless cancelled through your app store account settings before the end of the current period.
- Prices may change; we will provide notice as required by the applicable app store.
- Refunds are governed by the policies of the app store through which you purchased, not by StationBay.
10. Third-party services
The Service depends on third-party providers, including hosting and authentication, artificial intelligence processing, subscription management, and app store billing. Their availability, performance, and terms are outside our control. Your use of the Service is also subject to any applicable third-party terms.
11. Privacy
Our collection and use of personal information is described in our Privacy Policy, which is available inside the app and forms part of your agreement with us.
12. Our intellectual property
The Service, including its software, design, branding, and content that we provide, is owned by StationBay and protected by intellectual property laws. These Terms grant you no rights in our trademarks or branding. Manufacturer names and equipment marks referenced in the Service belong to their respective owners.
13. Disclaimer of warranties
THE SERVICE IS PROVIDED "AS IS" AND "AS AVAILABLE", WITHOUT WARRANTIES OF ANY KIND, WHETHER EXPRESS, IMPLIED, OR STATUTORY, INCLUDING ANY IMPLIED WARRANTIES OF MERCHANTABILITY, FITNESS FOR A PARTICULAR PURPOSE, ACCURACY, AND NON-INFRINGEMENT.
We do not warrant that the Service will be uninterrupted, secure, or error-free, that data will be accurate or complete, or that inventory records will reflect the actual physical contents of any apparatus. Physical verification of equipment remains the responsibility of the department and its personnel.
14. Limitation of liability
TO THE MAXIMUM EXTENT PERMITTED BY LAW, STATIONBAY AND ITS DEVELOPERS WILL NOT BE LIABLE FOR ANY INDIRECT, INCIDENTAL, SPECIAL, CONSEQUENTIAL, EXEMPLARY, OR PUNITIVE DAMAGES, OR FOR ANY LOSS OF PROFITS, DATA, GOODWILL, OR OPERATIONAL CAPABILITY, ARISING OUT OF OR RELATING TO YOUR USE OF OR INABILITY TO USE THE SERVICE.
TO THE MAXIMUM EXTENT PERMITTED BY LAW, OUR TOTAL AGGREGATE LIABILITY FOR ALL CLAIMS RELATING TO THE SERVICE WILL NOT EXCEED THE GREATER OF THE AMOUNT YOU PAID US IN THE TWELVE MONTHS BEFORE THE CLAIM AROSE, OR ONE HUNDRED U.S. DOLLARS.
Nothing in these Terms limits liability that cannot be limited under applicable law. Some jurisdictions do not allow certain limitations, so parts of this Section may not apply to you.
15. Indemnification
You agree to indemnify and hold harmless StationBay and its developers from claims, damages, losses, and expenses, including reasonable legal fees, arising out of your User Content, including any claim that content you uploaded infringes a third party's intellectual property or privacy rights, your violation of these Terms, or your misuse of the Service.
16. Termination
You may stop using the Service at any time and may request account deletion. We may suspend or terminate your access at any time if you violate these Terms, if required by law, or if necessary to protect the Service or its users. Upon termination, your license to use the Service ends immediately. Department records may be retained by your department as described in Section 8.
17. Changes to the Service and these Terms
We may modify or discontinue features at any time. We may also update these Terms; when we make material changes, we will update the effective date above and, where appropriate, notify you in the app. Continued use of the Service after an update means you accept the revised Terms.
18. Governing law and disputes
These Terms are governed by the laws of the State of Florida and the applicable federal laws of the United States, without regard to conflict-of-law rules. You and StationBay agree that any dispute arising out of or relating to these Terms or the Service will be brought exclusively in the state or federal courts located in Florida, and you consent to the personal jurisdiction of those courts.
Before pursuing formal proceedings, you and StationBay agree to attempt in good faith to resolve any dispute informally by contacting support@stationbay.app.
19. General
- If any provision of these Terms is held unenforceable, the remaining provisions remain in effect.
- Our failure to enforce a provision is not a waiver of it.
- You may not assign these Terms without our consent; we may assign them in connection with a merger, acquisition, or asset transfer.
- These Terms, together with the Privacy Policy, are the entire agreement between you and StationBay regarding the Service.
